Onboard a new center associate in their first week
Quick tips
- Send the store join code the day they accept, not the day they start.
- Confirm they appear on the roster before their first scheduled shift.
- Walk them through clock-in on site so the geofence is not a surprise.
- Capture availability during week one, while it is a conversation.
Why setup order decides the first pay period
The most common onboarding failure is working before existing in the system. Someone covers three shifts, then gets added to the roster, and now their first pay period is a manual reconstruction rather than a report.
Fixing the order costs nothing. Send the join code when they accept the offer, confirm the roster entry before the first shift, and the rest of the process runs itself.
A first-week sequence that works
Day zero, when they accept: send the store join code from Team, then Invite. They download the app, create their own account, enter the code, and land on your center roster with the right role.
Before the first shift: confirm they appear on the roster. This is a 30-second check that prevents the entire failure mode above.
First shift: walk them through clock-in on site. Showing someone the geofence in person takes two minutes and prevents the out-of-range punch that would otherwise be their first interaction with the system.
First week: capture availability. Doing it early makes it a normal conversation about school and second jobs rather than a negotiation triggered by a scheduling conflict.
What to explain rather than assume
Three things are worth saying out loud on day one because they otherwise get discovered incorrectly: that clock-in checks location only at the moment of the punch and does not track them during or after a shift, how shift trades work and that they need approval, and when the schedule is published each week.
Centers that explain the trade board early get fewer group-chat side deals, because the app is the first thing the new person learned rather than the second.
Common questions
- How do you add a new employee to the schedule?
- Share the store join code from Team, then Invite. The new hire creates their own account, enters the code, and appears on your roster with the correct role, so no manager needs to build the account for them.
- What should a new associate know about GPS clock-in?
- That location is checked only at the moment of a clock-in or clock-out, that there is no tracking between punches or after a shift, and that punches from outside the store boundary are still recorded but flagged for a manager to review.
