Time off & availability
Know who can work before you build the week
Requests, approvals, and recurring availability live next to the schedule, with limits you set for each store.

Requests from the app
A single day, a date range, or a recurring weekday, all day or for set hours, with a reason attached.
Approve or auto-approve
Review each request yourself, or let a store approve requests automatically.
Limits per store
Minimum notice, a yearly cap on requests, and a yearly cap on hours.
On the planner
Approved time off and pending requests show on the schedule grid while you plan.
One queue for every request
Pending requests wait in one place with the dates, hours, and reason. Approve or deny in a tap, and the planner updates for everyone who builds the schedule.
- Pending, approved, and denied tabs
- Managers can add time off for someone
- Sick time shows the person's balance before you approve
Availability that repeats
Recurring requests cover the standing conflicts, like evening classes every Tuesday and Thursday, so they show on the planner every week without a new request each time.
- Pick the weekdays, then all day or set hours
- Shows on the planner every week it applies
- Goes through the same approval as any request
Rules that fit each store
Set how much notice a request needs and how many requests or hours someone can take in a year. Managers are exempt from the notice window, and sick time is checked against the balance each person has earned.
- Minimum notice before the first day off
- Yearly limits on requests and on hours
- One request can go to every store someone works at
Why time off belongs next to the schedule
Most scheduling mistakes around time off aren't disagreements. They're requests that lived in a text thread, a sticky note, or someone's memory, and never reached the person building next week.
When requests are part of the schedule, the conflict shows up while you plan rather than at open. A pending request is visible before you assign the shift, and an approved one shows on that day for everyone who schedules the store.
Clear rules do the rest. A notice window and yearly limits tell the team what to expect before they ask, which makes a denial a policy instead of a judgment call.
Guides on time off and availability
Write a time-off request policy your team can actually follow
Clear notice windows and a recorded approval path stop the "I already booked flights" argument before it starts.
How to collect employee availability without a spreadsheet
A schedule built on last month availability is a schedule full of call-outs. Pull current preferences before you build the week.
How to track paid sick leave accruals without a spreadsheet
Accruals and balances belong next to the people who earn them, not in a file only one person understands.
Paid sick leave laws by state: accrual, caps, and carryover
Most state laws accrue one hour per 30 or 40 hours worked, then diverge on caps, carryover, and waiting periods. Those differences are where multi-state operators get caught.
Frequently asked questions
- Can employees request part of a day?
- Yes. Any request can be all day or for set hours, whether it covers a single day, a date range, or a recurring weekday.
- How does the notice window work?
- It is a minimum notice. With a 30-day window, a request has to be submitted at least 30 days before the first day off, and dates further out are allowed. Managers are exempt, and sick leave follows its own rules.
- Can requests be approved automatically?
- Yes. Each store can approve requests automatically or send them to a manager. Either way the store limits still apply, so an automatic approval never skips the notice window or the yearly caps.
- How is sick time handled?
- Sick time is requested like any other time off and draws down the balance accrued from hours worked. Managers see the balance before approving, and accrual is set per store.
- Is there a time off report?
- Yes. Time Off & Sick in Reports lists requests and sick time for the period with balances, and exports to Excel.
