Invite new hires with a store join code

TimelyHours TeamReviewed

Quick tips

  • Share the store join code from Team, then Invite.
  • Have new hires create their own account, then join with the code.
  • Confirm they appear on the roster before their first scheduled shift.
  • Rotate the code if it spreads outside the team.

The problem with adding people later

Telling a new hire to download the app so you can add them later reliably creates a ghost: someone who works shifts but never appears in the system correctly, because the second half of that sentence never happened.

Ghosts are expensive at exactly the wrong time. They cannot be scheduled cleanly, they cannot trade shifts, and their hours arrive at payroll as a manual correction.

How join codes work

A join code puts onboarding on rails. The new hire creates their own account, enters the store code, and lands on your roster with the right role path already applied. No manager has to be available at that exact moment for it to work.

Do a 30-second roster check after each hire. If they are not listed, fix it before their first shift rather than during it.

Keeping the code under control

Share the code with people you have actually hired. It is faster than manual invites and much cleaner than sharing a manager login, but it is still a key to your roster.

If it circulates beyond the team, rotate it. Anyone already joined stays joined.

Common questions

How do new employees get access to the scheduling app?
They download the app, create their own account, and enter the store join code from Team, then Invite. That places them on the correct store roster with the right role, without a manager having to create the account for them.
